The Challenge

With 8 warehouse locations and over 12,000 SKUs, inventory accuracy was at 71%. Purchase orders were created in Excel and emailed to suppliers, with no tracking after sending. Goods receipts at warehouses were recorded on paper and batch-entered into a central spreadsheet weekly. Stock transfers between warehouses required phone calls and manual approval chains that took days.

What We Built

We built an integrated WMS and procurement platform. Warehouse staff use mobile-friendly interfaces for goods receipt, putaway, picking, and cycle counting — all updating inventory in real time. Procurement workflows digitize the full PO lifecycle from requisition through approval, sending, receipt, and payment. A supplier portal gives vendors visibility into PO status and allows delivery confirmation. Stock transfers between locations are managed through an approval workflow with real-time inventory deduction. Automated reorder points trigger procurement requisitions when stock falls below threshold.

The Outcome

Inventory accuracy improved from 71% to 98.6% within 3 months of go-live. Purchase order cycle time reduced from 5 days to same-day for standard orders. Goods receipt processing time dropped by 84% through mobile scanning. Stock transfer approval time reduced from 3 days to 4 hours. The operations team eliminated over 200 hours per month of manual spreadsheet work.
